If you continue to browse and use this website, you are agreeing to comply with and be bound by the following terms and conditions of use, which together with our privacy policy govern Arctic GM’s relationship with you in relation to this website and services. These terms and conditions apply to all tours and services provided by Arctic GM, regardless of the destination or country of operation. Tours and services in Finland are sold and provided by Arctic GM Experiences OY, and those in Norway by Arctic GM Experiences AS.

1. Booking Agreement
Any booking made or order placed by a customer—whether through the company’s website or otherwise—shall be deemed an offer by the customer to purchase the relevant travel arrangement subject to these booking conditions. By submitting a booking, you warrant and confirm that you comply with these arrangements. No contract between the customer and Arctic GM shall exist until Arctic GM receives full payment. The person making the booking accepts these terms on behalf of all participants in the booking and assumes responsibility for full payment.

2. Services and Prices
  • All services and pricing are based on availability and confirmed upon inquiry.
  • Prices include VAT per applicable tax regulations.
  • Arctic GM reserves the right to adjust prices due to unforeseen cost increases (e.g. changes in taxes, fuel rates, or operational expenses beyond our control).
  • While we strive for accuracy, Arctic GM reserves the right to correct any pricing or service details and cancel or amend bookings made at incorrect rates.
  • Customers must be at least 18 years old to book.

3. Payment Terms
  • All bookings must be paid in full at the time of booking using one of the accepted payment methods.
  • Prepayment is required for accommodation and tailor-made packages.
  • Arctic GM may cancel bookings due to delayed payment.
  • Confirmation will be sent by email.
  • Booking confirmation constitutes acceptance of these terms and binds all listed participants.

4. Cancellation Policy
  • Cancellations made 1 day or more before the tour are fully refundable.
  • Cancellations made less than 1 day before the tour are non-refundable and subject to a 100% cancellation fee.

5. Child Policy
  • Children aged 0–12 are eligible for child rates, unless otherwise stated.
  • Infants are not recommended on tours.
  • Arctic GM reserves the right to deny participation of infants for safety or group comfort.
  • Unaccompanied minors are not permitted.

6. Booking Changes
  • Booking change requests must be submitted by the original booker via email, phone, or direct message through one of our official platforms.
  • All changes are subject to availability and approval by Arctic GM.

7. Travel Insurance and Liability
  • All participants must have valid travel insurance covering health, baggage, and personal items.
  • Customers are responsible for all personal belongings and loaned equipment.
  • Arctic GM accepts no liability for death, injury, or illness unless caused by employee negligence.
  • Arctic GM is not responsible for delays, losses, or damages caused by force majeure (e.g. weather, illness, strikes, terrorism).
  • Arctic GM accepts no liability for loss or damage to valuables, including electronic devices and camera equipment, during any part of the tour.
  • Customers must inform Arctic GM of any disabilities or health conditions at time of booking.

8. Safety Guidelines
  • All customers must adhere to safety briefings and instructions.
  • Due to the adventurous nature of our tours, all participants must comply with guide decisions.
  • Appropriate weather- and activity-specific attire is required.
  • Participation is at your own risk.

9. Extended Cancellation & Refund Policy Add-On
Customers may choose to purchase an optional Extended Cancellation & Refund Policy during the booking process for an additional fee per person. This add-on allows the customer to request a full refund for cancellations made after the standard 24-hour cancellation deadline, provided the cancellation is due to one of the verified reasons listed below.

This policy must be selected at the time of online checkout and is valid only for the specific circumstances outlined. All refund requests must be supported by appropriate documentation. Arctic GM reserves the right to review and assess the validity of any submitted materials and to approve or deny refund requests at its sole discretion.

Valid reasons include:
  • Medical emergency affecting the customer (requires a valid doctor’s certificate).
  • Airline flight cancellation (requires official documentation from the airline).
  • Airline flight delay causing the customer to miss the booked tour (requires official documentation from the airline).

10. Jurisdiction and Applicable Law
  • Finland (Arctic GM Experiences OY): Governed by Finnish law. Legal matters handled in Lappi District Court, Rovaniemi.
  • Norway (Arctic GM Experiences AS): Governed by Norwegian law. Legal matters handled in Tromsø District Court, Tromsø.

11. Customer Responsibility for Contact Info
It is the customer’s responsibility to provide accurate contact details and monitor their email and messaging channels for any updates regarding the tour.

12. Snowmobile Damage Liability Waiver
Customers participating in snowmobile tours may choose to purchase an optional Snowmobile Damage Liability Waiver during the booking process for an additional fee. This waiver reduces the customer’s maximum financial liability for accidental damage to the snowmobile from up to €950 to €0.

The waiver applies only to damage to the snowmobile itself and does not replace travel insurance. It does not cover personal injury, loss or damage to clothing or personal items, or liability arising from reckless or negligent behavior. The waiver must be selected at the time of booking and is non-refundable once the tour has started.

Arctic GM reserves the right to determine the applicability of the waiver on a case-by-case basis and to void the waiver if the damage results from misuse, intoxication, or violation of safety instructions.

13. Refund Processing Time
Refunds, where applicable, will be processed without delay and typically appear within 5–14 business days, depending on the customer’s bank or payment method.

14. Voucher and Gift Card Use
Gift cards or vouchers issued by Arctic GM are valid for 12 months unless otherwise specified. They are non-refundable and may not be exchanged for cash.

15. Weather-Dependent Tours
All tours are subject to weather conditions. Arctic GM reserves the right to adjust start times, change routes, or cancel tours in the interest of customer safety or due to extreme weather. In such cases, customers will be offered rescheduling or a refund, at Arctic GM’s discretion.

16. Accessibility Disclaimer
Some Arctic GM experiences may not be suitable for customers with limited mobility or medical conditions. Please contact us prior to booking to discuss specific needs.
